Explore the fit before sharing any business records.

The initial DataRoyal assessment uses a company profile, not your underlying business records. A potential partnership requires a separate review of rights, confidentiality, personal information and permitted use before anything is shared.

What DataRoyal receives

The preliminary summary stays in your browser. If you request contact, the profile and contact details are emailed to our partnerships team. We do not request records, connect systems, collect passwords, anonymise files or prepare exports. An introduction does not change that boundary.

Check who can authorise use

Records produced in your business can involve customer contracts, supplier material, licensed content and work created by employees or contractors. Identify who owns or controls the relevant material and which obligations affect disclosure. Access to a file does not by itself establish the right to license it for an AI use.

Plan for people and confidential information

Operational records can contain information about customers, employees and other individuals. Confidentiality and privacy need their own review. Removing names alone does not necessarily make material anonymous; combinations of details may still identify a person.

Have the appropriate legal or privacy adviser assess the proposed use, safeguards and any transfers. The European Commission’s data protection explanation provides general background. This page is a preparation checklist, not a finding that your records can legally be shared.

Make the permitted use explicit

Ask which material is in scope, what the partner intends to do with it, who may access it and whether onward disclosure is allowed. Clarify the review process, processing locations, retention, security responsibilities and what happens when the agreement ends. These questions should be resolved directly with the selected partner.

Keep the decision with your company

You can decline an introduction or agreement. Define exclusions before any review. Do not assume a particular partner will remove sensitive information or accept every restriction. Any agreed safeguards and payment terms need to be documented in the arrangement between the parties.
