Describe one workflow first
Choose a repeatable activity such as delivering projects, resolving support cases or developing a product. List the kinds of records retained, where they sit, the period covered and how related items can be connected. Approximate counts are useful for planning, but do not present an estimate as a verified inventory.
Identify the decision-makers
Who can authorise a conversation? Who understands the workflow? Who administers the systems? Who can review ownership, contracts and privacy? The same person may cover several roles. A potential partnership can stall if nobody can confirm what exists or which uses can be permitted.
Record restrictions and gaps
Make a separate list of material that would need to be excluded or reviewed. This might involve customer commitments, third-party content, employee information or sensitive commercial history. Note missing outcomes, incomplete date ranges, duplicates and changes of system. You do not need to resolve every question before asking about fit, but you should make uncertainty visible.
Clarify what you want from the discussion
Decide whether you want to understand demand, test the relevance of a particular workflow or explore commercial terms. Avoid planning around a revenue figure before a partner has assessed the agreed material and made an offer. Ask who would do any preparation work and what that work would require.
